Create an Assessment Continuity Index When Property Management Changes
A change in property management can separate useful assessment records from the people who understood their purpose. A continuity index helps the incoming team find the original documents, see which actions were actually completed and recognize what still needs review. It does not transfer professional conclusions, contract rights or permissions by assumption.
Inventory records by purpose
List the assessment, supporting photographs, subsequent proposals and any completion documentation as distinct records. Keep the property location and document version with each entry. Do not relabel a repair estimate as a condition assessment or a payment record as evidence of completion. Identify missing originals so the next manager knows where a summary has no supporting source available.
Separate completed work from inherited intentions
For every follow-up item, record the last documented action and the source that establishes it. A prior manager’s plan to commission work is not proof that it happened. If a later reviewer changed a recommendation, preserve the dated reasoning. Avoid carrying forward an old target date as though the new management team or a contractor had reaffirmed it.
Arrange an authorized handover
Identify who can release records, arrange access and answer scope questions under the owner’s existing process. Share only appropriate property information and retain restrictions attached to source material. Ask qualified providers about any conclusion that needs updating for the incoming team’s decision. The index should make review easier while avoiding a false claim that historical advice automatically covers new ownership plans or room uses.
Copyable worksheet
Use one row for each field. Mark unknown information clearly and retain the original records.
| Field | Your note |
|---|---|
| Original document and purpose | ____________________ |
| Supporting source location | ____________________ |
| Last evidenced follow-up action | ____________________ |
| Missing record or new decision | ____________________ |
| Authorized handover contact | ____________________ |
Worked example
Illustrative example: an incoming manager receives a repair spreadsheet but no completion photographs. The continuity index links the original assessment and proposal, marks completion unverified and identifies the owner contact who can obtain records. The new manager can commission the missing review without describing planned work as finished or assuming that old access permissions remain current.
