An Action Due Date Is Not the Date a Concrete Condition Was Measured
Board trackers often place an observation date, a report date and a target action date in adjacent columns. When those dates are collapsed into one field, an old observation can look freshly verified or a missed administrative deadline can look like measured physical deterioration. Separate the dates before using the tracker to direct resources.
Keep observation and publication separate
Record when the condition was observed and when the report or summary was issued. If a record was copied from an older source, retain the original observation date. A new file name or board packet date does not establish a new site visit. Where the source does not provide the relevant date, mark it unknown rather than assigning the date of import.
Define what the action date means
State whether the date is a target for obtaining a quote, conducting further review or completing a contracted task. Identify the person responsible for that administrative action. A missed quote deadline should not automatically change the condition description, just as an updated condition description should not silently extend a contracted completion date. Those are different decisions with different source records.
Review overdue items with the right question
Ask whether the intended action happened, whether the underlying information is still appropriate for the decision, and whether another observation is needed. Record the answer rather than overwriting the historical entry. This makes the tracker useful during staff turnover and budget review without implying continuous monitoring or a new engineering judgment every time a spreadsheet is updated.
Copyable worksheet
Use one row for each field. Mark unknown information clearly and retain the original records.
| Field | Your note |
|---|---|
| Original observation date | ____________________ |
| Report issue or import date | ____________________ |
| Action type and target date | ____________________ |
| Responsible person and actual status | ____________________ |
| Reason for any new review | ____________________ |
Worked example
Illustrative example: a garage condition was documented in spring, summarized in October and assigned a November quote target. When the quote is delayed, the manager updates the action status while retaining the spring observation date. A separate decision determines whether fresh site information is needed. The tracker does not present an October summary as a new measurement.
